Privacy Policy

The University of Applied Sciences Northwestern Switzerland (FHNW) uses the conference management software Converia, provided by Lombego Systems GmbH, Weimar (Germany), for the administration of events and conferences. Lombego Systems GmbH operates the software and processes personal data on behalf of the FHNW as part of a data processing agreement.

If you wish to register for an event or submit a contribution, the creation of a personal user account is required. By creating a user account, you consent to the processing of your personal data by the FHNW for the purpose of organizing, conducting, and administering events and conferences.

The required data include title, first and last name, residential address, and email address. In connection with your registration, the time of registration is also stored. For paid services, payment processing is handled by external payment service providers; in this context, payment data (e.g., credit card information) may be collected.

For registration, you may either create a local user account with your email address or log in via the authentication system of your higher education institution using Switch edu-ID. In this process, certain identity attributes (e.g., name, email address, institutional affiliation) may be transmitted from your home institution to Converia.

The data you provide are used within FHNW to organize the event and for communication with participants. During registration, you may choose whether you would like to receive additional information about other events.

FHNW takes appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse.

Personal data are generally only disclosed to third parties if this is necessary for the execution of the event, if there is a legal obligation to do so, or if you have explicitly consented to such disclosure.

Your user account is designed for long‑term use. You can use your login to manage your event registrations and register for additional events. If you wish to delete your user account or no longer receive information about other events, you may contact your conference administration or the general Converia contact. In this case, your data will be deleted unless there are legal retention obligations.
