These general terms and conditions for registration and participation apply to all participants of the International Conference for Agile Software Development 2025 (XP2025, https://conf.researchr.org/home/xp-2025) of the University of Informatics FHNW (HSI FHNW), who take part in the event from 2 to 5 June 2025.
Membership rates are available for members of SwissICT, Jug.ch and HSI FHNW.
Student rates apply only to students who are enrolled at a university as bachelor’s, master’s or doctoral students.
Proof of membership status (membership card) or student status (identity card) is required for participation as a member or student at XP2025.

Discount codes for Program Chairs and other volunteers are personal and may not be passed on.
Registration is done via the registration tool of the HSI FHNW. The registration is binding.
All tickets issued are issued personally to the participating person.
Any requests for cancellations should be sent in writing to xp2025.informatik@fhnw.ch.
In case of cancellation, participants will be charged a percentage of the administrative costs:
In principle, the transfer of personally issued tickets to another person is not foreseen. It will be accepted in exceptional cases and only if there is a legitimate reason. Requests in this regard should be addressed to xp2025.informatik@fhnw.ch.
Participants must provide their real name, affiliation and address when registering. Registration with nicknames or false names is considered abusive and is not permitted. HSI FHNW reserves the right to cancel abusive registrations or deny access to the conference and conference resources to abusive registrants. Registration fees paid for abusive registrations will not be refunded.
Any misuse of discount codes, such as passing on a discount code to other persons or registering unauthorized persons with a discount code, is prohibited. Damages caused by such misuse will be charged to the offender.
All charges are quoted in Swiss Francs (CHF) and must be paid in Swiss Francs. Payments in other currencies are not accepted.
Registration only becomes effective after receipt of payment.
HSI FHNW and XP2025 do not tolerate discrimination, harassment or bullying against any person for any reason. Participants who witness or are exposed to unacceptable behavior should report the incident immediately to info@xpconference.org.
For the registration to participate in XP2025, personal data will be collected (first name, surname, ...). All personal data will be processed in accordance with Swiss data protection laws. All personal data collected as part of the registration process will serve exclusively the purpose of organizing XP2025. They will be protected with appropriate technical and organizational measures. HSI FHNW may commission third parties with the processing of registrations and participant data. Third parties are subject to the same level of due diligence as HSI FHNW has to fulfil.
HSI FHNW will obtain the consent of the participants before storing personal data for information about future XP conferences. Without this consent, all personal data will be deleted after the conclusion of the conference.
Participants grant HSI FHNW full and royalty-free permission to take and publish photos or videos at XP2025. The photos and videos can be published on the website or on social media such as LinkedIn. Participants who do not agree to the use of their photo, please contact info@xpconference.org or the General Co-Chairs directly at the beginning of the conference.
Conference attendees are permitted to use photos and videos for personal use as long as the photography does not disrupt the event. The use of photos or videos taken at XP2025 for commercial purposes is prohibited without the prior written permission of XP2025 General Co-Chairs.
HSI FHNW has carefully prepared XP2025 and will do its best to conduct XP2025 as planned and publicly announced. However, the organizer reserves the right to make program changes if necessary. Such changes do not entitle participants to a refund of the participation fees.
If, after the expiry of the cancellation period on 30 April, it turns out that the XP2025 cannot be carried out as announced for reasons beyond the power and control of HSI FHNW or the XP2025 organizers, all financial obligations will be paid first before the participation fee will be refunded pro rata accordingly.
All disputes arising from registration for or participation in XP2025 shall be governed by Swiss law. The exclusive place of jurisdiction for all disputes shall be Brugg-Windisch, Switzerland.
The HSI FHNW or the XP2025 organizers shall be liable for the care taken in the organization of the event. The organizers shall not be liable for a specific result of their services. The HSI FHNW or the XP2025 organization shall only be liable for the non-conduct of the event if the failure of the services is due to culpable failure of the services. The liability shall in any case be limited to direct damage.
The HSI FHNW or the XP2025 organizers assume no liability for any losses.
